Role Overview
The Program Analyst (PMO) ensures governance, visibility, and reporting discipline across Aeonn Ark’s initiatives. This role does not manage delivery. It ensures initiatives are tracked accurately, decisions are documented, risks are visible, and leadership receives evidence-backed, decision-grade reports.
If it is not captured in the PMO system with evidence, it does not exist.
Core Responsibilities
Portfolio & Plan Discipline
Maintain master initiative register (owner, milestones, dependencies, status)
Create and manage baseline milestone plans
Track cross-vertical dependencies
Enforce baseline freeze and formal change control
Reporting & Visibility
Publish weekly portfolio packs and monthly governance packs
Apply uniform, evidence-backed RAG rules
Maintain dashboards (Power BI / Excel)
RAID Management
Maintain live Risk, Assumption, Issue, and Dependency logs
Track aging and surface cross-vertical risks early
Decision & Change Control
Maintain decision and change logs (scope, timeline, budget)
Keep draft vs final status explicit at all times
Budget Variance Tracking (Mandatory)
Track baseline, approved changes, actuals, forecast, and variance
Report variance with explanation, mitigation, and approval trail
No variance accepted without evidence
Governance Enforcement
Enforce governance rules defined by ED Governance
Detect and escalate breaches within the same reporting cycle
Raise structured escalation notes with decision required and deadline
Trigger stop-the-line for missing artifacts, uncontrolled documents, red status without decisions, or unsupported budget variance
Repository & Template Ownership
Own PMO templates (status, RAID, decision log, change request, minutes)
Maintain SharePoint PMO library structure and hygiene
Tools & Systems
Mandatory
SharePoint (single source of truth)
Advanced Excel
PowerPoint (pack building)
PM planning tool (MS Project preferred or equivalent)
Action tracking tool (Planner / Jira / Asana / ClickUp / Trello)
Dashboards
Power BI (preferred) or Excel dashboards
Tool standardisation is enforced. Adaptability is mandatory.
Experience & Capability
2–5 years in PMO, program reporting, ops, or business operations
Strong documentation and follow-through discipline
Comfortable holding process boundaries with senior stakeholders
Able to build baseline plans, track dependencies, update forecasts, and manage logs
